This is a remote position.

An exciting opportunity has arisen for an Office Administrator with a passion for travel to join a premier travel service specialising in high-net-worth clients. This role demands a detail-oriented professional adept at managing office operations, coordinating complex travel arrangements, and delivering exceptional client service. Ideal candidates will have proven experience in travel administration, strong organisational skills, and a commitment to excellence in every aspect of their work. Available for 4,5 hours a day, hours will fluctuate, this is an approximation. 

​Responsibilities:

Administrative Support:

Oversee daily office operations to maintain a smooth and efficient workflow.

Manage and organise records, documents, and schedules with precision.

Handle digital itineraries, provisional rates, and invoice verification.

Ability to problem solve and act quickly to help resolve travel disruptions, complaints and last-minute changes.

Client Liaison:

Serve as a secondary point of contact for high-net-worth clients, addressing their inquiries and requests with professionalism and efficiency.

Provide exemplary customer service to enhance clients’ travel experiences.

Travel Coordination:

Facilitate travel arrangements, including booking and confirming flights, accommodation, and activities.

Ensure a seamless and enjoyable travel experience for clients by managing all logistics effectively.

Documentation and Financial Management:

Prepare and maintain detailed travel documents and records.

Review and verify invoices, and liaise with vendors to resolve any issues.

Archive documents for easy retrieval and maintain meticulous attention to detail.

Requirements

  • Proven experience in office administration within travel is essential.
  • Highly detail-oriented with exceptional organisational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in office software, including MS Office.
  • Experience working with high-net-worth individuals is advantageous.
  • Familiarity with the safari travel industry​ specifically in all over Africa. 
  • Strong ability to handle digital itineraries, provisional rates, and check invoices.
  • Attention to detail and ability to work independently and error free.
  • Demonstrated ability to work with vendors and manage financial documentation.
  • A passion for travel and a commitment to providing impeccable service.
