Responsibilities:
Reception Management:
Keep the reception area welcoming and tidy at all times.
Greet visitors and employees warmly and professionally.
Handle phone calls promptly and direct them as needed.
Organise parking arrangements for clients and visitors.
Administrative Support:
Manage incoming mail and packages, ensuring timely distribution.
Assist with scheduling client meetings and interviews, including room bookings and setup.
Order and stock office supplies to keep essentials on hand.
Support general office admin tasks as they arise.
Office Coordination:
Maintain predictable reception hours (08:00 – 17:00).
Communicate effectively with teams about updates or changes to office procedures.
Collaborate on larger office projects or events.
Requirements
- Previous experience in office admin and coordination or a similar role, preferably in a fast-paced environment with at least 50 employees.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Detail-oriented with a proactive mindset
- Comfortable with office tools and systems like Microsoft Office and Google Workspace
- Comfortable with booking, planning and coordinating in-house and off-site engagement activities
- Previous experience as a receptionist
