Job Description

An established premium FMCG manufacturer and distributor is hiring a presentable and experienced Receptionist / Office Administrator. This full-time, in-office role combines front desk, office admin, and PA duties.  A minimum of 3 years’ similar experience is essential.

Key Responsibilities:

Reception and Office Administration

  • Answering and managing the switchboard.
  • Dealing with all clients and guests who visit the office. (First point of contact).
  • Manage the boardroom calendar for all meetings and ensure guests receive refreshments on offer.
  • Monitor and manage the presentation of the boardroom and reception areas including product display stock.
  • Report and manage any internet / telephone connection faults with service providers.
  • Distribute all mail, parcels and goods received at reception. Send outgoing parcels via courier.
  • Manage all kitchen groceries, office supplies and stationery, office equipment and servicing of all office 
    equipment.
  • Coordinate the renewal of company vehicle licenses when expired.
  • Assist HR consultant in managing manufacturing staff files, casual files and temp staff files.
  • Assist finance department with filing, sales orders and invoicing when required.
  • Assist procurement department with contacting suppliers and confirming deliveries when required.

Personal Assistant to Management

  • Screen all phone calls.
  • Diary management and organising all business meetings and personal appointments.
  • Complete any administrative tasks and or research required.
  • Organise any errands required (collections/deliveries).
  • Collate invoices and slips for finance department on a monthly basis.
  • Book and arrange any travel, transport and accommodation required.
  • Assist with organising staff events.

Requirements

Essential Skills:
Matric certificate with business admin/office management qualification.
3+ years’ front office/reception/PA experience.
Non-smoker, well-presented and groomed and energetic.
IT literate with excellent organisational and communication skills.
Meticulous, resourceful, trustworthy, and reliable.
Own reliable car/transport is highly preferred.
